Other than what Frank suggested, there are two add-ons you could investigate to achieve this:

1. B1 Usability Package by BoyumIT (B1 Usability Package - all you need to know.. - Boyum-IT)
2. TaskCentre for SAP Business One (TaskCentre for SAP Business One - Module Overview)

I have used both of these programs to achieve the same thing.

You could also schedule DTW to be run every night, although it may not be the most elegant solution. Example here - (How to configure a scheduled data import with DTW (Data Transfer Workbench))

Can I ask, is it possible to update the UDFs at the point of document posting?

Have you investigated using FMS (Formatted Search)? It does sound like these could be used if you already have a query to get the data.
